Overview:
The Administrative Assistant provides support for Maintenance, Quality and Human Resources.
The Administrative Assistant supporting these functions must have a high level of initiative, good problem-solving skills and judgment, and have the ability to handle multiple priorities. The ability to deal with appropriately sensitive and confidential information is critical to the overall success of this position. A high degree of professionalism is expected in all interactions.
Responsibilities:
Maintenance (50%)
- Creates purchase orders and other actions in Coupa.
- Provides assistance doing internet or phone searches for spare parts needed.
- Helps create work instructions for preventive maintenance tasks. This person will lead the gathering of information, documenting and loading it up into the Maintenance Management Software.
- Helps with ordering and receiving common maintenance supplies at the shop.
- Helps with updating databases for equipment, tools or maintenance activities.
- Organizes catalogs, files and maintains blueprints/floor plans/site plans and information.
- Performs other duties as assigned.
Quality (25%)
- Works closely with the quality team to help implement QMS (Quality Management System).
- This would include writing work instructions along with other documentation that is required to complete 5 subsystems of the Doors division QMS.
HR (25%)
- Maintains HR Department filing system, files correspondence, and confidential records.
- Makes copies and prepares new hire orientation packets, benefits open enrollment materials, etc.
- Helps create PowerPoint slides for various projects and announcements.
- Helps enter and maintain information on spreadsheets.
- Helps create key cards for new hires and replacements.
- Helps coordinate miscellaneous employee engagement events and activities.
- Helps prepare monthly employee birthday cards and gifts.
- Provides assistance in any other administrative tasks, as required.
Knowledge/Skills/Abilities:
- Strong communication (written and verbal), time management, and interpersonal skills.
- Computer literacy and strong keying skills.
- Intermediate to advanced level of proficiency in Microsoft Office Applications (Word, Excel, PowerPoint, Outlook, Teams).
- Ability to handle competing priorities.
- Must be flexible and able to multi-task, with great attention to detail.
- Excellent organizational and problem-solving skills.
- Good judgment and ability to deal appropriately with sensitive and confidential information.
- Works with integrity and respect displaying a high degree of tact and diplomacy.
Qualifications:
Associate Degree or High School Diploma with 2+ years’ experience in an administrative role.
