Position Title: HR Associate
Location: Toronto Plant
Reports To: HR Lead
Span of Control: Provides administrative and HR process support to the Toronto Plant and HR Lead.
Purpose of the Role
The HR Associate plays a key role in supporting both administrative and human resources functions at the Toronto Plant. This position serves as a central point of contact for employees at all levels and works closely with plant leadership to ensure smooth execution of HR processes and initiatives.
Key Responsibilities
Co-ordinating HR activities
- Serve as the primary contact for general administrative needs, including meeting coordination, supply orders, internal moves, and facility bookings.
- Maintain and update plant communication tools such as distribution lists, organizational charts, and weekly newsletters (e.g., Pink Notes).
- Manage budgets related to administrative expenses, including office supplies and organizational events.
- Maintain organized filing systems (both electronic and physical).
- Coordinate travel arrangements and prepare invitation letters as needed, group activities.
- Generate regular reports (e.g., headcount, overtime, payroll).
- Organize employee engagement events such as holiday parties and service award ceremonies.
- Lead community outreach initiatives, including the United Way Campaign, Jill of all trades.
- Perform other administrative duties as assigned.
HR Process & Capability Support
- Support key HR processes such as hourly hiring and orientation.
- wage adjustments, and employee movements in the Talent Center and Talent Center Trainings a.
- Act as the first point of contact for HR-related inquiries, including policies, benefits, payroll, and employee resources.
- Address employee questions regarding allowances (e.g., tools, shoes, wellness).
- Process payroll and manage job changes, terminations, and new hires in the HRIS system, ensuring compliance and audit readiness.
- Track attendance and vacation data accurately.
- Prepare and maintain HR reports using HRIS and business systems.
- Coordinate candidate interviews and maintain job postings in the Talent Delivery System.
- Manage training records in the Learning Management System and coordinate local training sessions.
- Lead wellness initiatives and organize related events for the plant.
- Assisting with Talent Center activities for corporate as needed.
- Support additional HR projects and initiatives for Corporate HR as needed.
Qualifications
Minimum Requirements
Bachelor’s degree in business or a related field.
At least 4 years of administrative experience, including 2 years in HR and/or a manufacturing environment.
Proficiency in HRIS and payroll/timekeeping systems (PeopleSoft and Kronos preferred).
Experience & Skills
Strong interpersonal and communication skills, with the ability to work independently in a fast-paced environment.
Proven ability to handle confidential information with professionalism and discretion.
Excellent organizational and multitasking abilities, with a keen attention to detail.
Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
Ability to build strong working relationships across all levels of the organization.
