JOB RESPONSIBILITIES

 

LOA Program Administration and Compliance Support

  • Assist in the coordination and management of the leave of absence programs, including tracking and documenting employee leaves, ensuring compliance with relevant laws and regulations, and maintaining accurate records.
  • Serve as a point of contact for employees and managers regarding leave of absence policies, procedures, and documentation requirements. Respond to inquiries, provide guidance, and facilitate communication between employees, managers, and the Program Lead.
  • Maintain confidential employee records related to leaves of absence, ensuring accuracy, completeness, and compliance with privacy regulations. Prepare and process necessary documentation, such as leave applications, medical certifications, and return-to-work forms.
  • Manage the administration of various types of leave, including the transition process from short disability to long-term disability leave, and other applicable leaves as per company policies and legal requirements. This may involve reviewing leave requests, determining eligibility, coordinating with third party administrators, and monitoring leave durations.
  • Maintain up-to-date knowledge on relevant federal, state, and local laws and regulations related to leaves of absence, such as the Family and Medical Leave Act (FMLA) or the Americans with Disabilities Act (ADA). Ensure program compliance and advise the Program Manager on necessary policy updates or modifications.
  • Compile and analyze leave-related data, such as usage patterns, trends, and return-to-work rates. Prepare reports and presentations to help the Program Lead assess program effectiveness, identify areas for improvement, and make informed decisions.
  • Work closely with the HR department, benefits team, payroll team, and other relevant stakeholders to ensure seamless coordination and integration of leave programs with other HR processes.

 

Employee Education & Experience

  • Support the development and delivery of training programs or informational sessions for employees and managers on leave of absence policies, procedures, and best practices.
  • Identify opportunities for process improvement and training, automation, or streamlining of leave administration tasks to enhance efficiency and effectiveness.

 

JOB REQUIREMENTS

 

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree in human resources related field or equivalent training and experience.
  • Minimum of 5 years of employee experience in a HR related field.
  • Minimum of 2 years of experience in leave administration.
  • Ability to travel 10%.

 

PREFERRED EXPERIENCE:

  • Working knowledge of Medicare, SSDI, rehabilitation, disability, medical and workers’ compensation benefits.
  • Understanding of HR policies and practices, with expertise in leave administration.
  • Ability to provide education and communication on employee benefit plans.
  • Demonstrated ability to identify and anticipate program needs, convey appropriate options, and make recommendations for implementation.  
  • Bilingual capability.

  • Excellent communication and interpersonal skills, with the ability to build strong relationships with internal stakeholders.
  • Ability to handle confidential information with discretion and maintain a high level of professional standards.
  • Strong organizational and time management skills, with the ability to prioritize multiple projects and/or tasks.
  • Demonstrated ability to work independently and as part of a team.
  • Proficiency in Microsoft Office and electronic medical record systems with the ability to train others.
